Data Security in a Virtual World

Business data is one of a business’ most valuable commodities. Data defines the business, handles the accounts, manages the employees and records the history. If the data is compromised the business is compromised. Although more businesses are beginning to consider data management a priority, many need to assess how their data is protected and take remedial actions to protect the integrity of their data.

First step would be to run a data security check and this should be for electronic data, paper data and intellectual data. Some of the items to include would be: where and how your data is stored, what backup measures are in place, virus protection procedure, spyware protection procedures, password policies, confidentiality agreements, video monitoring of sensitive areas, copyright protection, domain name protection, web site security issues, database security, email protection.

Suggestions for some of the above could be:

  • Check with an attorney about securing intellectual data.
  • Make sure all computer stations are secured by passwords.
  • Update your operating system. With Windows run Windows Update.
  • Use browsers that are not prone to attacks such as firefox by mozilla.com and Netscape. These are free and very good browsers.
  • All computers should have up to date virus and spyware protection updated and run at least weekly. Norton and McAffee are 2 virus protection suppliers and ad-aware.com is a good spyware removal product.
  • Passwords should be unique with at least 6 characters including a combination of numbers, letters, capitals, and symbols. They should never be stuck on a monitor or under a keyboard. Either have an electronic password safe or have a secured password book that has all company passwords.
  • All domain information should have the business contact information and it should be up to date. The email contact is especially important as that is how the registrar can send the login information so changes can be made to domain information. The domain should also be locked so it can not be transferred without permission.
  • A website is the business face on the Internet and is how people see a company. The site should be located on secured servers that are monitored to avoid hackers. Parts of the site can be password protected so that only certain people can have access.
  • If the website collects information, it should be secured with a secure certificate. This is an encryption tool that is recognized by browsers which then show the user that the site is protected.
  • Email can be protected against spam and viruses, check with your Internet Provider.
  • Data can be backed up and stored in many ways, common ways are to a CD, tape or other hard drives. If the company’s data is vital, off site storage in a data center or secured vault should be considered.
  • Servers that are used for back up or primary delivery of data should have several hard drives that are redundant.
  • All data on the hard drives should also be backed up at least weekly to tapes and archived for several months.
  • Communications to multiple offices or stores and back to the data center should be via Virtual Private Networks (VPNs)
  • Office wireless communication devices should be configured to exclude anyone outside of the office.
  • The office network should have a firewall to protect data from outside sources.
